UK invoicing rules

  • HMRC expects a VAT invoice to be issued within 30 days of the date of supply, and only VAT-registered businesses may show VAT on an invoice.
  • Line amounts and the net total may be written in any currency, but the total VAT chargeable must always be shown in pounds sterling.
  • Retailers may hand over a simplified VAT invoice when the supply is £250 or less including VAT; above that a full or modified invoice is needed.
  • Zero-rated goods such as most food and children's clothing are still listed on the invoice at 0%, while exempt supplies are kept off a simplified invoice altogether.
  • Construction services under the domestic reverse charge must carry wording that the customer accounts for the VAT, and no VAT amount is charged on the invoice itself.
  • Keep invoices and other VAT records for at least six years; Making Tax Digital requires VAT-registered businesses to keep those records digitally.

E-invoicing, simplified invoices and record keeping

PDF and paper VAT invoices remain valid in October 2026; the government announced in the November 2025 Budget that VAT invoices will have to be issued electronically from April 2029.

A simplified VAT invoice is allowed for retail supplies of £250 or less including VAT.

Keep issued and received invoices for at least 6 years in the United Kingdom.
