How consultants bill
Independent consultants charge a day or hourly rate against a statement of work, sometimes as a monthly retainer, and bill travel and expenses on top at cost.
Consultants commonly use "Net 30", so payment is due 30 days after the invoice date. Some consultants take a retainer equal to the first week of fees from a new client and apply it to the final invoice.
U.S. Bureau of Labor Statistics, Occupational Employment and Wage Statistics, May 2024: median hourly wage of Management Analysts $48.65 (employees, not contractor rates).
Consultant invoicing tips
- Bill on-site and remote days on separate lines when the rates differ and list the dates of each, because clients reconcile consultant invoices against their own meeting calendars.
- Attach receipts for every expense line and follow the client's travel policy on airfare class, hotel caps and per diem, since corporate accounts payable will short-pay an invoice whose expenses exceed it.
- Quote the statement of work number and its not-to-exceed amount and show the total billed to date against it, so the client sponsor sees how much budget remains before approving.
- Bill travel time exactly as the engagement letter says, often at a reduced rate or not at all, and state that on the line, because full-rate travel days are a charge clients frequently question.
Consultant billing disputes to head off
- Extra interviews and side analyses are easy to absorb without noticing; a line showing days used against days contracted flags the overrun before it becomes a write-off.
- Expenses billed weeks after the trip can be rejected for falling outside the client's submission window, so invoice them in the same cycle they were incurred.

How do consultants charge?
Mostly day. Independent consultants charge a day or hourly rate against a statement of work, sometimes as a monthly retainer, and bill travel and expenses on top at cost.
When should a consultant invoice be paid?
Net 30 is the usual arrangement. Some consultants take a retainer equal to the first week of fees from a new client and apply it to the final invoice. Put the terms and the due date on the invoice so there is no doubt.
How much do consultants earn per hour?
