When to use a past due invoice
- A customer has missed the due date and a friendly reminder e-mail got no reply.
- Your terms include a late fee or interest and you now need to apply it.
- You want a formal record of the outstanding amount before passing it to collections or small claims.
- A client says they never received the original invoice.
What a past due invoice must include
- 'Past due' or 'Overdue' marked clearly next to the title
- The original invoice number and date, unchanged
- The original due date and the number of days overdue
- Amount outstanding after any part payments
- Late fee or interest, only as stated in your terms
- A new payment deadline
- Payment methods and a contact for questions
Past Due Invoice vs similar documents
-
vs statement of account
A statement lists every open invoice on an account; a past due invoice chases one specific bill.
-
vs debit note
A debit note changes what was originally billed; a past due invoice asks for the same amount again, plus any agreed late fee.
-
vs final invoice
A final invoice is sent once at completion; a past due invoice follows it when the payment does not arrive.
Legal and tax note
In the EU, the Late Payment Directive 2011/7/EU gives businesses a right to statutory interest and a fixed minimum of EUR 40 in recovery costs when a business customer pays late. Elsewhere, and for consumers, charge a late fee only if your terms and local law allow it.

Frequently asked questions
Should a past due invoice get a new number?
Keep the original number. Payment matching, your records and any later collection all rely on it; add 'Past due' and the days overdue rather than issuing a new invoice.
Can I add a late fee to an overdue invoice?
Only if your original terms or local law allow it. Show the fee on its own line with the rate and the period, so the customer can see how it was calculated.
When should I send a past due invoice?
A typical sequence is a reminder shortly before the due date, a past due invoice soon after it, then a firmer notice. Keep the tone factual: many late payments are simple oversights.
