When to use a final invoice
- The job is complete and the customer has signed off or taken handover.

- Approved change orders or extra work have to be added to the original contract price.
- The customer wants one document that shows the whole job from start to finish.
What a final invoice must include

- Invoice number and date

- Retainage released, if any was held back
- Balance due and its due date
- Completion or handover date
Final Invoice vs similar documents
-
vs deposit invoice
The deposit invoice opens the job with an advance; the final invoice closes it and deducts that advance.
-
vs progress invoice
A progress invoice bills one stage; the final invoice reconciles every stage and bills what is left.
-
vs interim invoice
An interim invoice is one of several part bills during a long engagement; the final invoice is the last one and settles the account once paid.

Frequently asked questions
What if the customer disputes an item on the final invoice?
Point to the signed contract and the approved change orders listed on the invoice; that is why each one carries a reference and a date. If a change was never approved in writing, consider settling it separately so the undisputed balance gets paid.
Should the final invoice list the whole project again?
Yes: list the contract amount and every change, then deduct what was already paid. The customer sees how the balance was reached without digging out the earlier invoices.
When should I send the final invoice?
On completion or handover, while the work is fresh. Waiting weeks makes small disputes more likely and delays the last payment.
