When to use a statement of account
- A customer buys from you regularly on credit and receives many invoices a month.
- You want to remind a customer of everything outstanding in one document instead of chasing invoices one by one.
- The customer's accounts team reconciles supplier balances at month-end and asks for a statement.
- You need to show how a lump-sum payment was applied across several invoices.
What a statement of account must include
- The heading 'Statement of Account'
- Statement date and the period covered
- Customer name and account number
- Opening balance
- Each invoice with its number, date and amount
- Each payment and credit note with its date and reference
- Closing balance
- Ageing of the balance: current, 30, 60 and 90+ days
- Payment details and the amount due now
Statement Of Account vs similar documents
-
vs past due invoice
A past due invoice chases one bill; a statement shows the whole account and every open item at once.
-
vs recurring invoice
A recurring invoice is a new bill; a statement bills nothing new, it summarises bills already sent.
-
vs payment receipt
A payment receipt confirms one payment; a statement shows how all payments were applied to the open invoices.

Frequently asked questions
Is a statement of account an invoice?
No. It summarises invoices already issued and creates no new charge, so it is not entered in the books as a sale. Customers may pay from it, but the invoices remain the tax documents.
How often should I send statements?
Monthly suits most customers who buy on account, timed with your month-end close. Send one sooner when a customer has several overdue invoices.
What does the ageing section on a statement show?
It splits the balance by how long it has been unpaid, for example current, 1-30, 31-60, 61-90 and over 90 days, so the customer sees which invoices to pay first.
