How interpreters bill
Charges hourly with a minimum booking, or half-day and full-day rates for on-site assignments, plus travel time, mileage and late-cancellation fees.
Interpreters commonly use "Net 30; late cancellations billed at the booked minimum", so payment is due 30 days after the invoice date.
U.S. Bureau of Labor Statistics, Occupational Employment and Wage Statistics, May 2024: median hourly wage of Interpreters and Translators $28.58 (employees, not contractor rates). The sample's $100.00 per hour for "Time beyond half-day booking" is 3.5 times that employee figure; a business rate also has to cover insurance, tools, travel, unbilled admin time and profit.
Interpreter invoicing tips
- Name the language pair and the mode, consecutive, simultaneous or sight translation, on each line, because rates differ by mode and the client's billing staff may not know what happened in the room.
- State the minimum booking and the increment you bill in after it, so a deposition that ends after 90 minutes still bills the half-day you reserved and the client is not surprised.
- Print your cancellation window and fee on every invoice and quote, since a cancelled assignment still blocked a day you cannot rebook at short notice.
- For simultaneous assignments that run longer than about an hour, show both interpreters of the team on separate lines, because clients who booked one interpreter often ask why there are two.
Interpreter billing disputes to head off
- Waiting time when the session starts late is a frequent dispute. Writing the scheduled start, actual start and end times on the invoice shows why the clock started at the booked hour.
- Court or agency assignments may be paid on the requester's own fee schedule; billing your private rate on those jobs gets the invoice returned, so check the rate in the booking confirmation.
