What a landlord receipt proves
A rent receipt should show the tenant's name, property and unit, the rental period paid, the amount, the payment method and date, and any balance still owed.
In the sample, Jamie Ortiz paid $1,997.30 by card for bill a tenant for November rent with pet rent, parking, a water bill-back and a late fee, so the receipt shows the full amount and a zero balance.
A security deposit is collected at lease signing and held apart from rent; many states limit its amount and set a deadline and itemization rules for returning it.
Recording how the customer paid
- Card: card type, last four digits and the $1,997.30 charged
- Bank transfer: the date the $1,997.30 cleared and the payer's reference
- Cash: the amount handed over and any change given
- Cheque: cheque number and bank, receipted once it clears
Avoiding landlord payment disputes
- Charging a tenant for normal wear such as faded paint or worn carpet on a rent invoice invites a dispute. Bill only damage you can describe and photograph, with the item and cause.
- A partial payment recorded without saying which charge it covered leaves both sides arguing over what is still owed; listing payments received and the remaining balance by line avoids it.
Refunds and corrections
If part of the $1,997.30 is refunded, do not edit the old receipt: issue a credit note or a refund receipt that points to RCT-2347 and states the amount returned.
Frequently asked questions
How do I make a landlord receipt?
Enter who paid, what for and how, list the lines (or one summary line), and mark the amount paid. The sample records $1,997.30 paid by card for bill a tenant for november rent with pet rent, parking, a water bill-back and a late fee, leaving a zero balance.
What is the difference between a landlord invoice and a receipt?
The invoice asks for payment of the $1,997.30 and gives a due date; the receipt confirms the money arrived and shows how it was paid. Many customers need both for their records.
Can I give a receipt for a deposit?
Yes. Issue a receipt for the amount received now and a second one when the balance is paid, both referring to the same job.
