What a life coach invoice should include
- Your life coaching practice name, address, phone and email, plus a tax ID if you are registered
- The customer's name and billing address (Chris Novak in the sample)
- A unique invoice number (INV-4266) and the issue date
- Payment terms and a due date: Paid in advance, due before the first session

- State the bundle's expiry date on the invoice, for example sessions to be used within four months, because unused sessions from a prepaid bundle are the usual source of refund requests.
- Describe the work as coaching, not therapy or counseling, in every line description; it matches your agreement and stops clients assuming they can claim it on health insurance, which does not usually cover coaching.
- Bill late cancellations and no-shows as their own line with the session date and your notice window, rather than silently deducting a session from a bundle the client thinks is intact.
- When an employer pays for an employee's coaching, address the invoice to the employer but keep session topics off it, listing only dates and session counts to protect the client's confidentiality.
Life Coach billing disputes to head off
- Clients who drift away after three sessions ask for the rest back; a receipt showing the bundle price, sessions used and the refund terms resolves it quickly.
- A sliding-scale or introductory rate not shown as a discount line makes the move to your standard rate look like a price hike; show the standard rate and the discount separately.
