What an artist receipt proves

An art sale receipt should name the work by title, medium and size, show sales tax where it applies and record how the buyer paid.

In the sample, Alex Morgan paid $3,275.00 by card for commissioned 30 x 40 in oil painting of a family home, framed, crated and shipped, so the receipt shows the full amount and a zero balance.

With a 50% deposit, issue one receipt for $1,637.50 when the deposit arrives and a second for the remaining $1,637.50, each quoting the same job.

Recording how the customer paid

  • Card: card type, last four digits and the $3,275.00 charged
  • Bank transfer: the date the $3,275.00 cleared and the payer's reference
  • Cash: the amount handed over and any change given
  • Cheque: cheque number and bank, receipted once it clears

Avoiding artist payment disputes

  • A buyer unhappy with a finished commission may refuse the balance; the invoice and the approved sketch line show the painting followed what was signed off.
  • Damage in transit is an expensive argument, and an insured shipping line with the declared value proves who arranged coverage.

Refunds and corrections

If part of the $3,275.00 is refunded, do not edit the old receipt: issue a credit note or a refund receipt that points to RCT-8218 and states the amount returned.

Frequently asked questions

How do I make an artist receipt?

Enter who paid, what for and how, list the lines (or one summary line), and mark the amount paid. The sample records $3,275.00 paid by card for commissioned 30 x 40 in oil painting of a family home, framed, crated and shipped, leaving a zero balance.

What is the difference between an artist invoice and a receipt?

The invoice asks for payment of the $3,275.00 and gives a due date; the receipt confirms the money arrived and shows how it was paid. Many customers need both for their records.

Can I give a receipt for a deposit?

Yes. For a 50% deposit on this job that is a receipt for $1,637.50, followed by one for the balance.
