When to use a rent receipt
- A tenant pays rent in cash, by money order or by any method that leaves no clear record.
- A tenant needs proof of rent paid for a tax claim, a benefit application or the next rental application.
- Rent is paid in part and you need a record of the balance still owed.
- You collect a security deposit or a one-off charge such as a late fee or a pet fee.
What a rent receipt must include

- Amount paid and payment method
- Any balance still owed
- Signature or name of the person who received the payment
Rent Receipt vs similar documents
-
vs cash receipt
A cash receipt can be for any cash payment; a rent receipt must name the property and the rental period, whatever the payment method.
-
vs recurring invoice
A landlord may send a recurring invoice to request each month's rent; the rent receipt confirms that it was paid.
-
vs statement of account
A tenant ledger or statement shows all rent charged and paid over time; a rent receipt covers one payment.
Legal and tax note
Some jurisdictions require rent receipts. For example, New York Real Property Law section 235-e requires a landlord to give a written receipt when rent is paid in cash or by any method other than the tenant's personal check, showing the date, the amount, the premises and the period paid for.

Frequently asked questions
Does a landlord have to give a rent receipt?
It depends on where the property is: some states and countries require a receipt for cash payments or on request, others do not. Giving one every time protects both sides if a payment is questioned later.
Can a tenant use bank statements instead of rent receipts?
A transfer or check record shows money left the account, but not which property or period it covered. A rent receipt ties the payment to the tenancy, which is what agencies and future landlords usually ask to see.
How should partial rent payments be recorded?
Issue a receipt for the amount actually paid and state the balance still owed and the period it relates to. Do not write 'paid in full' unless it is.
