How bartenders bill

Charges per bartender per hour with a minimum booking, plus mixers and garnishes per guest and bar rentals; when the host buys the alcohol, the invoice covers only labor, supplies and equipment.

Bartenders commonly use "Deposit at booking, balance due 7 days before the event", so payment is due 7 days after the invoice date. A booking deposit holds the date and covers the minimum hours, and the rest is collected before the event so nobody is settling the bill at last call.

U.S. Bureau of Labor Statistics, Occupational Employment and Wage Statistics, May 2024: median hourly wage of Bartenders $16.12 (employees, not contractor rates). The sample's $50.00 per hour for "Bartender service during the reception" is 3.1 times that employee figure; a business rate also has to cover insurance, tools, travel, unbilled admin time and profit.

Bartender invoicing tips

  • State on the invoice who supplied the alcohol; when the host bought it, list only labor, mixers and equipment so the bill cannot be read as you selling liquor at a private party.
  • Bill hours per bartender with the start and last-call times written in, and price overtime per bartender per extra hour, because hosts often ask to keep the bar open once the dance floor fills.
  • Price mixers and garnishes per guest from the final headcount, so a guest list that grows from 90 to 110 changes one quantity instead of the whole package.
  • Say whether gratuity is included in the hourly rate or whether a tip jar is allowed; hosts ask, and a written policy stops a host from tipping twice or feeling ambushed by a jar on the bar.

Bartender billing disputes to head off

  • Hosts sometimes press bartenders to keep serving a visibly drunk guest or to pour past the agreed last call; printing the last-call time and your right to refuse service on the invoice backs the bartender up.
  • Unopened bottles belong to the host who bought them, so noting what was handed back at breakdown prevents a later claim that liquor left with the bar staff.

Work a bartender can bill for

Core tasks of Bartenders (O*NET 35-3011.00, O*NET 29.x task statements, CC BY 4.0). Each can become a line on the invoice.
