How event planners bill

Bills a planning fee, flat, hourly or as a percentage of the event budget, plus on-site staff hours, with vendor costs passed through at cost or under a disclosed management fee.

Event planners commonly use "Planning fee 50% on signing and 50% Net 15 after the event; reimbursables Net 15", so payment is due 15 days after the invoice date. Half of the planning fee up front is common, and planners who would otherwise advance vendor deposits usually ask the client to fund them before the venue is paid.

U.S. Bureau of Labor Statistics, Occupational Employment and Wage Statistics, May 2024: median hourly wage of Meeting, Convention, and Event Planners $28.58 (employees, not contractor rates). The sample's $85.00 per hour for "On-site event manager" is 3.0 times that employee figure; a business rate also has to cover insurance, tools, travel, unbilled admin time and profit.

Event Planner invoicing tips

  • Separate your own fee from reimbursable vendor costs and attach the venue, AV or catering invoice behind each pass-through line, because corporate payables teams reject bundled totals they cannot match to a supplier.
  • Put the client's purchase order number and cost center on every invoice; event budgets are often split between departments, and a bill without a PO can sit in a procurement queue for weeks.
  • If you charge a management fee on vendor spend, show the percentage and the vendor subtotal it applies to rather than marking up each vendor line without saying so.
  • Pass venue attrition or food-and-beverage minimum shortfalls through as their own line with the contract clause quoted, since a final headcount below the room block is a cost the client signed for, not a planner charge.

Event Planner billing disputes to head off

  • Clients dispute extras ordered on the day by someone without budget authority; noting who approved each change, and when, keeps those lines payable.
  • Paying vendor deposits from your own account before the client funds them leaves you holding the loss if the event is cancelled, so invoice reimbursables before you pay them, not after.

Work an event planner can bill for

Core tasks of Meeting, Convention, and Event Planners (O*NET 13-1121.00, O*NET 29.x task statements, CC BY 4.0). Each can become a line on the invoice.

  • Consult with customers to determine objectives and requirements for events, such as meetings, conferences, and conventions.
  • Monitor event activities to ensure compliance with applicable regulations and laws, satisfaction of participants, and resolution of any problems that arise.
  • Confer with staff at a chosen event site to coordinate details.
  • Review event bills for accuracy and approve payment.
  • Plan and develop programs, agendas, budgets, and services according to customer requirements.
  • Coordinate services for events, such as accommodation and transportation for participants, facilities, catering, signage, displays, special needs requirements, printing and event security.
